Rental Guidelines, Processes and Procedures

Rental Approval Process

  • Your reservation will be submitted to staff who will review your reservation and reach out to you with any clarifying questions.
  • Upon Staff Clearance approval you will receive a notification from ActiveNet that your permit has been approved.
  • At this point you may log in and pay your fees, all fees and necessary documents are required for permit to be finalized.
  • Outside vendors are allowed in the parks if they have approved insurance on file with the City.
  • Vendor insurance must be approved 2 weeks before the event date.

Outside Vendor Insurance Requirements

Outside vendors are permitted at City parks only if they have approved insurance on file with the City of Culver City.

Insurance Coverage Requirements

Any permittee, vendor, facility renter, or contractor must provide a valid Certificate of Insurance (COI).

Vendor Insurance Approval

If the outside vendor you plan to use does not currently have approved insurance on file with the City, please email the following information to bookpaf@culvercity.org:

  • Company Name
  • Company Address
  • Contact Person
  • Contact Email
  • Contact Phone Number
  • Description/Scope of Services Provided

City staff will use this information to begin the insurance approval process.

Certificate of Insurance (COI) Information

The COI must also clearly identify the following event information:

  • Name of the customer listed on the permit
  • Name of the park where the rental or service will take place
  • Date and time of the event

Please Note: All outside vendor insurance documentation must be submitted and approved by the City at least two (2) weeks prior to the event date. Outside vendors may not provide services at a City park without prior insurance approval.

Refund Information

These guidelines apply to refunds requested for our park buildings.

  • There will be no refunds for cancellations or rescheduling of a rental without 7 days’ notice.
  • Refunds requested at least 17 days prior to the rental will be granted less a 15% processing fee.

Rescheduling a Building/Room Rental Guidelines:

  • Location/date/time changes can be made up to 7 days prior to rental for an additional 15% processing fee.
  • The new rental must be booked at the time of cancellation of the original rental.
  • The rescheduled rental must take place within 90 days of the original reservation date.
  • There will only be one rescheduling allowed per rental.
  • Refunds will not be granted in the event the rescheduled rental is cancelled.

Rain Policy

  • Field use is strictly prohibited during rain under all circumstances.
  • If rain begins after a permitted group has started using the field, City staff will inform the group of the rain policy and require all field activity to cease immediately.
  • Fields will remain closed for a minimum of 24 hours following significant rainfall and may remain closed longer based on field conditions, as determined by PRCS management staff.

Court Rules

Court hours:

  • Non Lighted Court Hours - Sunday through Saturday from 8:00 AM to Dusk

  • Lighted Court Hours - Sunday through Saturday from 8:00 AM to 10:00PM

  • Fox Hills Park - Open from 8:00 AM until 9:45 PM

While waiting for a court, stay safe and be courteous:

  • If a court is in use, wait for a break in play and politely let the players know that you are waiting.

  • Please wait outside of the court for your turn.

  • When the current players exit the court you may enter.

  • Only City approved lessons permitted.

  • Please report any unauthorized lessons or use to (310) 253-6650.

Tennis, paddle tennis and handball courts:

  • Doubles and singles play are permitted.

  • Only City-approved lessons are permitted.

Basketball and volleyball courts:

  • If a court is in use, wait for a break in play and politely let the players know that you are waiting.

  • Please wait off the court for your turn.

  • When the current players exit the court, you may enter.
